Process and System Improvement
I recently processed the renewal of my passport and I liked how the initial step went so easily. It was to go online wherein the basic information like the personal data, previous passport details and others were encoded. The website of the Department of Foreign Affairs is very user friendly as it is able to lay down the step by step process of every transaction as well as properly list the documents required by the said government office. Moreover, I can say that the processing has improved because the applicants are given liberty to choose which date and time of the day suit them the most. This I believe is to promote efficiency and regulation during the whole process. True enough, although a number of heads are scheduled in a specific hour, at least there is orderliness and fairness.
However, during the process, my patience was still vehemently tested and I was a bit pissed on how I sat and waited for a long while after my number was called. Prior to that was the two-hour or so of waiting following the payment of the renewal fee. To start with, I chose to be scheduled at 9:30am and with all the 9:30's in the venue, it took only an hour for my previous passport and basic information to get checked and then off to the cashier. That I think is acceptable anyway. From there is where the two long hours of waiting started; after which is the next and last step which is the picture taking and verification. The place was crowded but I appreciate the air-conditioning. The moment my number flashed on the screen, I hurriedly went to the designated desk for the final phase. I approached that certain section only to find out there is still someone being served. Then my patience clock began to tick. I waited a long while when I thought that it is already my turn. The DFA employee and the applicant still managed to have chit-chats while I wait on the side with a number on hand that says it is already being accommodated. During that process, the printed personal data which applicants fill-in online is being scanned and retyped, the picture as well as the thumbprints are being taken. What I would like to suggest is that the system should have captured the data being provided on the very first step. The DFA staff could have just opened it and accessed it for verification. I do not see the use of retyping everything found on the form all over again. It lengthens the processing time instead of just calling on the applicants, verify the information, take the picture and thumbprints and then up they could go. I think that they defeated the purpose of the online application on that aspect. It is time consuming because of redundancy in the process. It is much better if there could be a system that would link the information supplied in the initial step up to the verification part which is the final step. 3

NU12 Week8_Abrugena - Improvement In Enrollment Procedures

AGSB concerns. What must be done?
 
I can say that AGSB is advanced when it comes to technological matters since enrollment, various correspondences and viewing of grades as well as tuition fee payments can be made online hence depicts convenience and efficiency both on the part of the school administration and the students.
 
However, there are three minor areas which I thought of that could likewise make use of simple but capable online portals and these are the following:
 
1) The first week of the term always seem to appear very demanding and eventful due to various requests regarding course enrollments and schedule adjustments. One minor part of it is the availability of books required in every course. To not add in the hectic happenings at the Registrars, I would suggest a portal where the students can view the availability of the required books and they may also opt to pay online via fund transfer to AGSB cashier. With this, there would be fewer students who crowd around the office and no more unnecessary lines but the students could just print and present the proof of payment and quickly and easily have the book.
 
2) On the other hand, there are students who choose to purchase photocopied materials instead of books. Maybe there can be a system that will allow the students to request copies on line especially for large volumes. The portal may come as simple as indicating name of student, ID number, title of the book and the number of copies so that it will also be easily understood by the photocopy personnel. The rationale of this thought is first, there are instances wherein students need the materials right away and the library is already closed by the time the classes end so they could just log in and request for it online. Just a click away and the request can be viewed. Even after class, a student can just pick up the requested copies from the guard showing his/her school ID. Second, most of the students are employed or have their own businesses so even if they are at work, they could access the portal and send photocopying requests. So, upon arrival in school, they could get the reading materials already. That just means efficiency and time saved by the students. As for the deferred payments, there will be a tracer that tracks the list of students who requested online and a student is given 3 days to settle the photocopying fee to be paid directly and personally to the photocopy personnel since settling the fee online may complicate the transaction. The concern is the student shall be able to obtain the needed requirement or readings at a specified time.
 
3) I would like to suggest an online application for the off-campus library cards. This pertains to the card that grants off-campus library privileges in accordance with the other school's library rules and regulations. This shall entail the renewal of such as well on a per trimester basis. Since AGSB has a database of the enrolled students per trimester, it would be easy to certify the cards even online. Once the application and the card are certified by the librarian that the student is officially enrolled at AGSB and since the card does not require a picture, the student can already print it out and use it.4

What pisses you off at the neighborhood? What do you suggest?
 
As the cliché goes, "home is where the heart is"; because home is where we find refuge. I am fortunate to have lived in a neighborhood which can generally be described as very satisfying. The surroundings are kept clean. Policies are acceptable. The residents do unite and participate in parish activities. The guards roam during the wee hours. Though honestly, there had been unpleasant, inevitable incidents which happen to occur within the vicinity. All the same, the residents themselves have to be all keen and shrewd and should learn how to properly secure their own homes.   
 
There is no more relaxing feeling than being at home. Whether you come home looking forward to a gentle slumber or a buoyant party, your house is that one safe haven you truly appreciate. However, there is the backyard that can be inescapably eyed by the neighboring houses especially when there are get-togethers as other people, knowing Filipinos of course, are lured by the jovial happenings and will naturally take a look. In order to preserve the privacy of the homeowner, I would suggest big detachable outdoor blinds that can be installed at the side and rear portions of the property walls of the host. That would be something that can stand on its own or that can easily be assembled. This can be provided and rented out by the homeowners association. It would be better if the detachable outdoor blinds can likewise absorb or lessen noises that come with the parties so as to save people nearby from annoyance and sleepless nights. Something that is made up of a tarpaulin can also be considered but with soundproof material. Such product will compliment both sides of the situation; not being bugged by unnecessary sounds and bawls and on the other hand, a relaxed aura during recreation and leisure. The main concern here is to alleviate or better yet, prevent unhealthy hearsays or any tittle-tattle as well as to gain respect and build beneficial relationship amongst one another. 3
