The environment where we work sometimes reflect how we are viewed by our customers or clients. If we believe in this saying, then we spend time and effort to really tidy up our office and make sure everything is in good working condition. We instruct our secretaries to fix everything and sometimes make them a schedule of activities or things to do so that you don't have to keep on reminding them. This is an ideal set-up. Unfortunately, everything doesn't always go as planned. What pisses me most in the office is failing to accomplish the necessary paperworks needed to satisfy government regulatory agencies. That means accomplishing and paying our income taxes, municipal/mayor's permits, getting our residence certificate, PTR, paying and renewing our Philhealth accreditations and many others. I always remind my secretary all those things and assume that everything is taken cared of since you reminded your secretary. Alas, when you look and check for those things, its non-existent. What must be done about it?

 First, never ever assume that what you have instructed to your secretary will be followed to the letter. Second, you must physically check the necessary proof like receipts, the permits themselves, the paperworks themselves to make sure that everything was really accomplished. Third, always have a checklist on what to do and physically check with your secretary whether its done. Fourth, always check and check and never ever assume that everything is ok unless you yourself did so. If you do not do these things, it will be very costly on your part, not your secretary's part, and you will end up fuming mad and suffering the consequences.     3

One stay at the office for at least a third of the day and it is but normal that an employee would visit the bathroom at least once. There will be different reasons for going to the bathroom and it can be up to urinating, doing 'Number 2', and washing.
I always get pissed when I see a lot of tissue paper lying around and placed on the floor even when there is a trash can beside the toilet bowl or the sink. I don't know how they could miss it. Sometimes, the trash is overflowing with tissue paper and some are already on the floor.  The trash can has no cover and there is no easy to push the trash inside the can so that it can accommodate more.
I'd like to develop a trash can that has a detachable middle part on the cover that can be used to push the trash. The stick would just be as long as the can and is attached to the back of the can. The can would have a cover and can be opened by the usual pedal that you step on. When already full, the stick will be connected and locked to the middle part. Once the stick is connected and turned, the middle part will be detached from the cover and can be used to push the trash inside. In this way, the employee would not need to try to find something to push the trash inside. This will avoid getting the trash can to overflow as tissue paper can take only little space when pushed and so we can save space.
Hopefully this will eliminate the employees to miss the can since they have to open it before they put in the tissue paper and also they have a means to push the trash now and not try to place the trash on top of each other trying to balance things just so the pile would not fall.  3

“WHAT PISSES YOU OFF IN THE OFFICE”
Our company is a sales organization of Avida Land. Being in a sales organization, pessimists are not allowed since we have to spread positivity and eradicate negativity. Negative vibes can be so contagious. One person can actually pull you down, discourage you or brainwash you if you don’t have a firm belief and strong mindset.
In sales we always have to be motivated, so that our sellers will be motivated as well. We have to be resilient, and thrive on challenges. I hate it when people think of negative thoughts first, before they do an action.  Negativity has a domino effect. Once you think of bad thoughts, you will attract negative waves. This will suck out your energy and make you demotivated.
Another thing that pisses me off is people who have long “yosi breaks”, and just slacking around. People who smokes for 30 minutes or more, eats up the time that they are suppose to use to be productive in their work. The company is paying them on an hourly rate and yet these people are wasting their time. Most of these are managers, who are supposed to set a good example to their staffs. These people should be a good role model so that people will emulate them.
Spreading rumours in the office is another pet peeve for me. Most of the employees spend their lunch breaks and merienda breaks talking about people’s personal lives and office “chismis” which consumes a lot of their time. This habit seems to be very viral. People get distracted when one employee started to share a rumour, and everyone will be curious to listen. Sometimes it’s just ok to listen, but others spread the rumours and make it even worse by adding and lessening details on the rumours. Rumours don’t do anything good to the employees.
Bureaucracy is also one of the worst things in an organization. Long processes that make a workflow too long are really irritating. One example is making unnecessary steps before proceeding to what needs to be done. This makes the sales process longer. Clients and sellers are the ones greatly affected on this bureaucracy. The management who is in charge of this process should make a thorough analysis on how to shorten the work flow so the system would be efficient. <what do you suggest? No grade>

One of the things that pisses me off in my office is a full cafeteria during lunch breaks.  The management might want to schedule lunch breaks
of its employees, i.e, those in the ground floor to 3rd floor can have lunch by 11 a.m, 4th to 6th floor on 12 nn, etc., at the same time, they should
adjust work schedules in a way that an employee would work for 4 hours before his or her break.

Another thing would be too much wastage of paper.  We should have a system which would serve as a depository of our work.  For example, for monthly reports,
we can save our report on a server and have it reviewed by our superiors online, users of such reports would also be able to view the report online.  That way, we don't
need to print copies of reports, and lessen usage of paper.  

Lastly, another pet peeve is too much cables.  Almost all of us work with a laptop, having one entails having a network cable, cable for charger and a kensington.  Our office should work on
having wifi on the entire building.  Also, i hope we can have laptops that have retina or fingerprint scan so we can still maintain the confidentiality of our files without using a kensington.
Also, i wish the laptop manufacturers can develop a product that is solar powered. 3

NU12 for June 5, 2012 (KRaval) - What Pisses You Off at the Office

What pisses me off in the office? What must be done?
I've been working in the same company for the last 6 years, and I can say that it has been a very great learning experience for me. I never would have thought that I would get to a Project Development job, being a Philosophy graduate myself. Our company is currently operating at a very fast pace, and it can be very stressful. We begin work at 7:30am, and ideally, we could go home at 4:30pm, but that's not the case. It is oftentimes embarrassing to our other officemates if we go home at 4:30pm, or even earlier than 5pm, just because everyone has to have a share in the burden of the current task at hand.

Our work usually begins with reading e-mails, then do some paperwork, then attend meetings, then make presentations, then back to reading e-mails, then interrupted by calls, then attend meetings again... until you've realized that you are already hungry and thirsty. This is definitely not the ideal "life at the office". And so my office mates were brainstorming one day about what should be done about this kind of office routine and prevent the employees from burning out. We thought of those days we dreamed of a work-life balance, and those days in the office we cannot even send a text message or make a phone call to a friend or a family member just because we're too busy to do so. Therefore we came up with a few things to somehow make our "work-life balance" dream come true:

            1. There should be at least one day of the week we are allowed to work from home: read and answer e-mails, make and answer phone calls – while doing personal errands. This would definitely help us make more time to do our personal errands (especially when we need to go to government offices which are only open during weekdays) as well as spend more time with our family (especially for those who still have small children) while still being productive at work. We believe that one day away from the office won't make a lot of difference. Paperwork and other items of concern won't run out, anyway.

      2. There should be at least one day of week that is declared as "meeting-less" day: this would help us work on our backlog paperwork and read or answer e-mails that have been sitting on our desks for at least 2 weeks. Meetings, after all, are just simply a waste of time, especially those that run for more than an hour. Further, meetings are meant for decision-making amongst the group involved – employees should already know the background of the agenda be prepared with solutions or recommendations. <ganun meeting de avance? always ? wala nang nagagawa?>

      3. Employees should be entitled to a wellness program. Our company used to have one, but because of management decision, it was one of the employee programs that were cut from the budget. The wellness program that we are proposing is that of a provision of even a cafeteria that has healthy food options – aside from a gym and a fitness program offer. The company's number 1 asset should be the workforce – so we should be treated well and given this type of opportunity.

      4.To avoid too much paperwork, there should be limits as to the number of paperwork that an employee should handle on a certain period. Some should already be automated so we can also avoid using too much paper. We are always on-line, so we can probably view such documents and approve/sign off on them via system.

5. Employees should be rewarded with an automatic workday off when we go to work on weekends. There are times we are required to go to work on a Saturday or Sunday for so many reasons, but of course, we lose our personal time off and our time for our family and friends. This "swap" day should automatically be credited to us without the management questioning our absence for not showing up at work the first official workday after that weekend. < that is what the law requires> 3

Working with HP, it has helped me gain a lot of exposure dealing with enterprise customers focusing on a post sales support.  The scope of my responsibility is to ensure all commitments sold to our clients are delivered base from their expectations.  Our performance is being measured from overall deliveries and customer satisfaction.

Most of the challenges we encounter are when customers expects more than what is sold to them.  Somehow we can provide value added services to maintain and increase our relationship with our clients but most of the time, all of the mis-alignment are contributed to wrong scoping of customer requirements therefore solution delivered is not 100% as expected by our customers.

My idea is to improve the process from the pre-selling stage up to delivering the services to the client already.  This is what I call, End to End services.  This will help us dwell away from traditional selling which most of our Sales are doing

To help me understand the process, I need to know what is the existing and being practiced by our Sales/Presales.  From what I got, this is the simple process being followed




This is a straight forward approach wherein our sales are engaged with our clients and try to understand their needs.  From there, all requirements are submitted to our presales for them to conceptualize the solution that will be proposed to the customer.  Once customer accepts, TS Delivery will perform the activity and that it.  Somehow, this process always stumbles to reconfiguration since customer would see that solution is not actually what they expect. Therefore, the our margins would be lowered down and as such, our cost would be a lot more than the revenue.

Now the proposed process that I have would look like this.
This process would entail more interactions between all stakeholders (Sales, Presales and TS Delivery).  Every proposed solution will be validated both with the customers and Presales/TS Delivery, once customer accepts the proposal, then Presales would finalize the solution and validated by TS Delivery.  TS Delivery will then implement the solution.

The value add of this new process would mean, quicker TAT on project implementations and achieve expected revenues of the company.  On the delivery side, post support would be a lot easier to deliver since customer is getting what has been expected and sold.
